How we collect, use & protect your data
1. Who we are
RecruitAI is a software service operated in the United States. We provide AI-powered candidate screening tools to recruiting teams and staffing agencies. You can contact us at the email address provided in the contact section of this site.
2. What data we collect
When you create an account, we collect your name, email address, and company name. We store a hashed (encrypted) version of your password — we never store your password in plain text. When you subscribe to a paid plan, payment is processed by Stripe. We do not store your credit card number or billing details — Stripe handles all payment data. When you use the screening tool, you paste resume text and job descriptions into the app. This content is sent to Anthropic's Claude AI to generate candidate analysis. We do not permanently store resume content or job descriptions on our servers after your session ends.
3. How we use your data
We use your name and email to manage your account, send you important service-related communications, and process your subscription. We use your screening activity to maintain your dashboard history, which is stored locally in your browser. We do not sell your personal data to third parties. We do not use your data for advertising purposes.
4. Third-party services
RecruitAI uses the following third-party services to operate: Anthropic (Claude AI) to process resume screening requests, Stripe to handle payment processing and subscription management, and Cloudflare to host the application and store account data. Each of these services has their own privacy policy and data handling practices.
5. Candidate data & responsibilities
When you use RecruitAI to screen candidates, you are responsible for ensuring you have the legal right to process that candidate's personal data. You should inform candidates that their resume data may be processed by AI tools as part of your recruitment process, in accordance with applicable employment and privacy laws in your jurisdiction.
6. Data retention & deletion
Your account data is retained for as long as your account is active. If you wish to delete your account and all associated data, contact us and we will process your request within 30 days. Session cookies expire after 30 days. Screening history is stored in your browser's local storage and can be cleared at any time from the Dashboard page.
7. Security
We take security seriously. Passwords are hashed using PBKDF2 with a unique salt before storage. Sessions are managed using secure, HTTP-only cookies that are not accessible to JavaScript. All data is transmitted over HTTPS. Account data is stored in Cloudflare's infrastructure, which maintains industry-standard security practices.
8. Your rights
You have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your account and data, and opt out of any marketing communications. To exercise any of these rights, contact us using the form on this page. We will respond within 30 days.
9. Changes to this policy
We may update this privacy policy from time to time. If we make significant changes, we will notify you by email or by displaying a notice on the site. Continued use of RecruitAI after changes are posted constitutes your acceptance of the updated policy.

1. Acceptance of Terms
By accessing or using RecruitAI ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use the Service. These terms apply to all users, including free trial users, paid subscribers, and team members added to an account.
2. Description of Service
RecruitAI provides AI-powered candidate screening and ranking tools for recruiting teams and staffing agencies. The Service uses Anthropic's Claude AI to analyze resume content against job descriptions. RecruitAI is a tool to assist human decision-making and does not make final hiring decisions on your behalf.
3. Accounts & Subscriptions
You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Paid subscriptions are billed monthly through Stripe. You may cancel your subscription at any time; cancellation takes effect at the end of your current billing period. We reserve the right to suspend or terminate accounts that violate these terms.
4. Free Trial
New accounts receive a 14-day free trial. No credit card is required to start a trial. At the end of the trial period, access to paid features will be restricted unless you subscribe to a paid plan. We reserve the right to modify or discontinue the free trial offering at any time.
5. Acceptable Use
You agree to use the Service only for lawful purposes and in accordance with these terms. You may not use the Service to discriminate against candidates based on protected characteristics including race, gender, age, religion, national origin, disability, or any other characteristic protected by applicable law. You are solely responsible for ensuring your use of the Service complies with all applicable employment, privacy, and data protection laws in your jurisdiction.
6. Candidate Data & Responsibilities
You represent and warrant that you have the legal right to submit any candidate resume data to the Service. You are responsible for obtaining any required consent from candidates prior to processing their personal data through the Service. RecruitAI's AI-generated scores and summaries are intended as a screening aid only — all final hiring decisions remain your sole responsibility. You agree not to use AI-generated outputs as the sole basis for rejecting candidates without human review.
7. Intellectual Property
The RecruitAI name, logo, website, and software are owned by the operator of the Service. You retain ownership of any resume content or job descriptions you submit. You grant RecruitAI a limited license to process that content solely for the purpose of providing the Service to you. You may not copy, modify, distribute, or reverse-engineer any part of the Service.
8. Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied. We do not guarantee that AI-generated candidate scores, rankings, or summaries are accurate, complete, or free from bias. RecruitAI is not responsible for any hiring decisions made based on the Service's outputs. We do not warrant that the Service will be uninterrupted, error-free, or that defects will be corrected.
9. Limitation of Liability
To the fullest extent permitted by law, RecruitAI and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Service, including but not limited to damages resulting from hiring decisions, loss of data, or business interruption. Our total liability to you for any claim shall not exceed the amount you paid us in the three months preceding the claim.
10. Indemnification
You agree to indemnify and hold harmless RecruitAI and its operators from any claims, damages, losses, or expenses (including legal fees) arising out of your use of the Service, your violation of these terms, your violation of any applicable law, or your processing of candidate data without proper authorization.
11. Governing Law
These terms are governed by the laws of the State of Florida, United States, without regard to conflict of law principles. Any disputes arising under these terms shall be resolved in the courts located in Florida.
12. Changes to These Terms
We may update these Terms of Service from time to time. If we make material changes, we will notify you by email or by displaying a notice on the site. Continued use of the Service after changes are posted constitutes your acceptance of the updated terms. We encourage you to review these terms periodically.
